Program Overview:

Dr Smash has designed this package over the last 25+ years and has built into the all-encompassing package it is today. Our Basic package does Quotes to Job cards, Debtors, Creditors, Workshop Monitor and a variety of Management Reports(Including final Repair calculations, Manufacturer Reports and so much more).

Our Expanded packages include Payroll, Financials, Pastel Export, Admin Monitors, Dashboards, SMS Modules, Time and Attendance, Productivity to name just a few.

Dr Smash prides itself on its ability to customise itself to the needs of our clients. If you find that Dr Smash doesn’t have a function that you need then one of two things need to happen. We need to either connect to you and turn the function on for you or we will submit it to our programming department to get it brought in.

Over 25 years ago John Banfield a South African panel beater began to write the Dr. Smash program for Panel Beaters. To this day he is still adding and adjusting areas of the program to keep it in line with industry standards and make running a shop easier and more efficient.

Additional Modules

Payroll: 

All of your payroll needs are covered here. Medical Aid Rebates, MIBCO industrial Council reports, IRP5’s, year to date reports and you tax tables are updated annually.

Financials:

This module allows you to compile your entire General Ledger and will convert it into an Income statement, Balance sheet, Cash Flow statement etc. Gives you access to Cash Books, Petty Cash, and even has procedures in place to import into Pastel if required.

Customer Care SMS/Email Facility:

Auto generates SMS’s/Emails to keep clients up to date on their vehicles. Informs you when your clients were last contacted how they want to be contacted and keeps a history of all correspondence with clients.

Sales Monitor: 

This module handles your booking in of vehicles. From this it works out your workshop and department workload. This allows you to space out your booking in for optimal efficiency. This also looks after all potential work that could be available.

Time & Attendance:

Electronic clocking in system, linked to payroll Module for accurate wages. Reports include – Total hours per employee, Clock cards, absenteeism and early/late reports. Has Daily Shifts, weekly rosters, overtime authorisation, time editing and much, much more.  This price excludes the hardware required.

Productivity:

Clocks time spent on Jobs and from that works out the productivity of your employees, that specific Job and of course your company in general. Time and Attendance system is required for productivity and hence is included in the software price.  This price excludes the hardware required.

Administration Monitor: 

Controls after job admin requirements broken up into department specific tasks. This is all represented in a Quick Management Overview.  This allows for the creation of a logical admin process.

Dashboard: 

This dash board allows for tasks to be set that are cautiously monitored by the program, ensuring that employees stick to time limits or minimum requirements at all times. These can split into group and individual tasks.

Praxis: 

Keep track of the praxis jobs, Keep track of what Praxis has paid you, keep track of what Praxis is charging for spares.

Paint Import: 

Compatible with Glasurit, R-M, Salcomix and BMW Colour System. This module compiles anomaly data reports, paint usage against each job and reports on over usage

Additional Seats: 

Dr Smash works off a Seat system. This means Dr Smash allows you to have our software installed on as many computers as you want, with as many users as you want, with each user having their own permissions as to where they can and can’t go within the program. The number of seats you have limits the number of people who can be logged onto the system simultaneously. Additional seats can be purchased at any time and is a once off payment.

T&A and Productivity Readers:

F9 biometric readers and power supply.  The number of readers is dependent on your size of shop and what you require of the productivity package.

UNINTERRUPTED POWER SUPPLY

It is essential that the UPS covers all computers and Switches. As it will ensure a smooth flow of power to all equipment and protect it from all power surges and complete power failures. All information will be protected in the event of a power failure, with 30 minutes back up time available to shut down safely and perform backups.

ANTI-VIRUS

It is essential that all computers have a valid anti-virus program installed. NB.Dr Smash is NOT compatible with Microsoft Security Essentials.

PRINTERS

Dr Smash recommends the page printers. Preferably a page printer with a separate black cartridge, as a colour cartridge will be uneconomical.

Our software is windows based, using a menu driven environment with which to navigate. All packages are developed in Clarion utilizing a SQL database system.

Due to the affordability of each package, the software is suited to all sizes of business.

Service Level Agreement (SLA)

Technical Break Downs

Service Provider responsibilities and/or requirements in support of this Agreement

Manned Telephone Support

  • Telephone support : 8:00 A.M. to 4:00 P.M. Monday – Friday
  • Calls received out of office hours will be forwarded to a mobile phone and best efforts will be made to answer / action the call.

Monitored Email Support

  • Email support: Monitored 8:00 A.M. to 4:00 P.M. Monday – Friday
  • Emails received outside of office hours will be collected, however no action can be guaranteed until the next working day

Remote Assistance

  • Remote assistance will be provided on a First-Come-First-Serve basis unless superseded by Priority Top-Up SLA’s or Urgent Tickets

On-Site Assistance

  • On-site support will only take place when telephonic and internet based support proved inadequate or unsuccessful.
  • On-site assistance guaranteed within 48 hours during the business week
  • Should the user insist that work (for breakdowns in normal hours) be done after hours, an after hour fee will be charged, at our current rate, to cover overtime at overtime rates

Training

  • Any additional training required will be done at no additional cost, if trained at the Dr Smash training schools
  • If On-Site training is required then a nominal charge, at our current rate, will occur. (Premium Support Clients Only Pay For Travel after their 1 free visit)
  • The Dr Smash consultant will require a quiet room / office where we can do the training, with no disruptions. This office can be on or off the premises.  If this office cannot be provided then Dr Smash cannot be held responsible for your staff lack of training due to interruptions.
  • Saturday morning training sessions are considered overtime for Dr Smash, and depends on the availability of our technicians. There will be a charge, at our current rate, payable to the technician on the day of training.  The Saturday morning sessions are run from 9 until 12.

Letterheads

  • Changes to existing Letterheads will only be charged out if number of free changes per year have been used. These changes will be made within 16 working hours of a ticket being made. (Please see Table on Page 1)

Hardware Support

  • This contract does not include hardware support. Cabling, Networking and PC Repairs are not included in this contract and remains the responsibility of the client or, if authorised, a representative or subcontractor will be allocated and charged out at our current rate, to the customer by Dr Smash.

Data Recovery

  • This contract does not include data recovery. It is the clients responsibility to make sure that their backup is working in one form or another.
  • REMEMBER You will need your back up but you never know when.

Internet services

  • This contract does not include the internet connection or data required for Backups or Support

On-Line Backups

  • This agreement only provides a means to back up offsite.
  • Dr Smash is not liable for loss of data should a backup fail to upload or corruption of data occurs for any reason.

Dashboard Module

  • Any additional questions required on the Dashboard module will be charged out at our current rate.

Service Requests

In support of services outlined in this Agreement, the Service Provider will respond to service related incidents and/or requests submitted by the Customer within the following time frames:

  • Unable to access Dr Smash Software 0-3 hours (during business hours) for issues classified as High Urgency.
  • Data issues classified as Medium Urgency. 48 Hours
  • Within 5 working days for issues classified as Low Urgency.
